Poise and meeting bots

Many meeting tools send a bot into your call. Poise works from your own computer and the call's captions, and nothing goes out that you did not choose.

Side by side

  • Who joins the call

Many meeting bots: A bot joins as a guest, often in every meeting on the calendar, and everyone sees it arrive.

Poise: No one. Poise records from your own computer, or works from the call's captions in your browser. Its notetaker joins only if you turn it on, only the meetings you confirm, and everyone in the call can see it.Source 1

  • What gets emailed to the attendees

Many meeting bots: A recap goes to everyone on the invite, often on its own.

Poise: Nothing, unless you turn recap sharing on in Settings. Follow-ups are drafts you send yourself, and everything Poise sent for you is listed in Sent.Source 2

  • When recording starts

Many meeting bots: When the meeting starts, once the bot has been added to it.

Poise: When you start it, or when a call starts if you told the Windows app to record calls it notices. Poise offers a short notice telling the others the call is recorded.Source 3

  • Whose voice the follow-up is in

Many meeting bots: A summary in the tool's own words.

Poise: Yours. Drafts learn only from the versions you pick and the edits you make.Source 4

  • Calendar access

Many meeting bots: Usually required, so the bot can find your meetings and join them.

Poise: Not needed. Connecting a calendar is optional, for a brief before a meeting.Source 5

  • Whether your words train shared models

Many meeting bots: It depends on each tool's own terms.

Poise: No. Your picks and edits train only your own profile, and what you write is never used to train third-party public models.Source 6

Where each Poise answer comes from

  1. The notetaker is off until turned on (backend/prisma/schema.prisma, UserPrefs.autoJoinBot defaults to false) and joins only meetings the person said yes to (backend/src/lib/autojoin.ts, botConfirmedAt). The Windows app records the call from the computer it runs on, and the Chrome extension reads the captions the call shows.
  2. A report emails others only if the person turned that on (backend/src/lib/consent.ts, sendAutomatic; UserPrefs.autoSendRecap defaults to false), and every email Poise sent for someone is listed on their Sent page (frontend/src/pages/sent.tsx).
  3. The Windows app offers to record a call it notices unless told to record on its own (desktop app settings, meetings.detect is ask by default), and a capture starting offers the recording notice, on by default (backend/src/lib/consent.ts, DEFAULT_RECORDING_NOTICE).
  4. The published privacy policy, poise.cooli.ai/privacy: "Your picks and edits train only your personal profile so future suggestions match your voice."
  5. Creating an account needs an email address and a password, and nothing else (frontend/src/pages/signup.tsx); a calendar is connected, if at all, later in Settings.
  6. The published privacy policy, poise.cooli.ai/privacy: "We do not sell your data, and your inputs are never used to train third-party public models."
